Who we are
Sevenfold provides charity management software to UK charities. For most personal data on the platform — donor records, donations, Gift Aid declarations — the charity you donated to is the data controller, and Sevenfold acts as its data processor. For data about charity staff accounts and enquiries to us directly, Sevenfold is the controller.

What we collect
- Donor details — name, email, phone and postal address, submitted when you donate through a charity's donation page
- Donation records — amount, date, donation type (for example Zakat or Sadaqah) and payment method reference. Card details are never stored on Sevenfold.
- Gift Aid declarations — your name, address and declaration status, kept because HMRC requires charities to retain evidence for Gift Aid claims
- Staff account data — name, email and role for charity team members who use the dashboard
Why we process it (lawful bases)
- Processing your donation and sending a confirmation — contract and legitimate interests
- Gift Aid records — legal obligation (HMRC requirements)
- Sending donor impact reports about what your donation achieved — legitimate interests of the charity; you can opt out at any time
- Operating and securing the platform — legitimate interests
Retention
Gift Aid declarations and related donation records are kept for at least six years after the tax year they relate to, as HMRC requires. Other donor records are kept while the charity has an ongoing relationship with you, and removed on verified request where no legal obligation requires otherwise.
Sharing
Personal data is not sold, and is shared only with: the charity you donated to (it is their data); our email delivery provider (to send confirmations and reports); and HMRC, where Gift Aid claims require it. Data is hosted on servers managed by us and protected by encryption in transit and access controls.
Your rights
Under UK GDPR you can request access to, correction of, or deletion of your personal data, object to processing, and withdraw Gift Aid or contact consent at any time. Contact the charity you donated to, or email us and we will pass the request on. You also have the right to complain to the Information Commissioner's Office (ico.org.uk).
