Terms of Service
Last updated: 7 July 2026
1. The service
Sevenfold provides a hosted charity management platform covering donor and donation management, Gift Aid tracking, payroll, impact reporting and accounts auditing. Access is provided to charities under a managed onboarding agreement; there is no self-service sign-up.
2. Accounts
Charity administrators are responsible for the accuracy of the data they enter, for keeping their credentials confidential, and for ensuring team members are given appropriate roles. You must tell us promptly about any suspected unauthorised access.
3. Your data
The charity owns its data — donors, donations, reports, everything. On termination we will provide a complete export in a standard format and then delete the data from our systems, except where law (for example HMRC Gift Aid record-keeping) requires retention. Our handling of personal data is described in the Privacy Policy.
4. Acceptable use
- No unlawful content or use, including fundraising for purposes prohibited under UK law
- No attempts to breach, probe or overload the platform's security or infrastructure
- Donation pages must accurately describe the cause funds are collected for
5. Gift Aid and compliance
Sevenfold records and organises Gift Aid declarations and produces claim-ready exports, but the charity remains responsible for the accuracy of its claims to HMRC and for its own regulatory compliance, including Charity Commission filings.
6. Availability and liability
We aim to keep the platform continuously available and take regular backups, but the service is provided "as is" without warranty of uninterrupted operation. To the extent permitted by law, our total liability is limited to the fees paid for the service in the twelve months before the claim. Nothing in these terms limits liability that cannot be limited by law.
7. Termination
Either party may end the agreement with 30 days' written notice. We may suspend access immediately for material breach of these terms, restoring it once the breach is resolved.
8. Governing law
These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
